전략적으로 메모하라…기록 리스트 구체적일수록 효과
비즈니스는 물론 일상생활에서도 시간 관리는 매우 중요하다. 특히 비즈니스맨은 시간 관리가 기본으로, 이때 필요한 것이 메모다. 모든 업무를 메모로만 해결할 수는 없다. 처리해야 하거나 기억해야 할 업무들은 리스트를 작성한 후 순서를 정해야 한다. 메모의 첫 단계로 일단 수첩에 ‘처리할 일’, ‘기억해야 할 일’ 식으로 리스트를 작성하는 것부터 시작한다.
일의 순서는 굳이 번호를 매길 필요 없이, ‘오전에 해야 할 일’, ‘오후에 할 일’ ‘내일 할 일’ 등으로 구분하면 된다. 메모 리스트는 구체적일수록 효과적이다.
처리해야 할 일은 중요도, 우선 순위를 정한 후 점검하면서 작업이 끝나면 빨간 펜으로 지워나간다.
자신만의 스타일 만들자…기록은 꼼꼼하고 구체적으로
수첩을 사용하는 메모는 키워드나 기호만으로 충분하다. 굳이 예쁜 글씨로 쓰지 않아도 된다. 메모는 남에게 보여주는 것이 아니라 자신에게 도움되는 정보를 기록하는 것이다. 형식은 물론 내용에도 얽매일 필요는 없다.
예컨대 공적인 업무와 관련된 약속일 경우 만나다는 뜻의 영어(Meet)의 첫 글자를 따서 ‘M’으로, 사적인 만남이면 ‘m’으로 표시하는 식이다.
회의 시간을 메모할 경우 한자로 ‘會’자를 쓰는 것도 하나의 방법이다. 골자는 필요에 따라, 자신이 알 수 있는 문자로 메모하는 것이다. 만남을 약속을 했을 경우 ‘00과의 약속’이라고 수첩에 쓰고 괄호표시를 해두고 나중에 결과를 점검해 써넣는 방식도 좋다. 괄호 안에 만남이 이뤄졌으면 ‘0K’를, 만남이 무산됐을 경우 ‘X’표시를 하는 것도 하나의 사례다. 이는 수첩에 기록해놓은 일들의 결과를 빼놓지 않고 점검하는 방법이다.
샐러리맨이라면 하루 일정이 빼곡할 수도 있다. 무작정 자신이 처리할 일을 적어놓다 보면 일의 중요도를 놓치기 십상이다. 이 같은 문제점을 방지하기 위해서는 메모해 놓은 필기구 색깔과 다른 색으로 밑줄을 그어 놓고 체크하는 것도 좋다. 좋은 메모는 처리해야할 일을 구체적으로 적는 것이다.‘00일 A씨에게 전화’라고 쓰는 것보다 ‘00일 오전 00시에 A씨에게 전화’라는 식으로 구체적으로 적는다.
수첩에 일의 흐름을 적는 것도 바람직한 방법이다. 예컨대 ‘기획안 작성 오전 중’ ‘작성한 기획안 복사’ ‘택배 발송’ 등으로 꼼꼼하게 메모하는 것도 좋다.
메모를 일상화하라...생각 떠오르면 언제 어디서든 수시로
성공한 사람들은 가정에서도, 사무실에서도, 신문을 보다가도, 차 안에서도, 대화 중에도 메모장을 놓는 법이 없다. 일처리에 꼼꼼하다는 평가를 받는 사람들은 메모를 통해 자신을 효과적으로 경영하는 사람들이기도 하다. 즉, 메모를 체질화 한 사람들이다.
명함을 활용하는 것도 좋은 방법이다. 타인의 명함에 글씨를 쓰는 것을 상대방에 대한 결례라고 생각할 수도 있지만, 오히려 그 사람을 기억하는 매력적인 방법이 될 수 있다.
명함을 받았다면 그 빈 공간에 그 사람과 만난 날짜, 장소 등을 적어 넣고 만남의 목적도 간단한 문구로 메모해 둔다. 여유가 있다면 그 사람의 옷차림이나 특기할 만한 인상착의를 기록해 둔다.
수인사만 건네고 헤어졌던 사람을 나중에 만나 예전 만남에서 그 사람이 입었던 옷과 넥타이 색깔까지 얘기한다면 분위기가 달라질 것이다.
갑자기 아이디어가 떠올랐을 때는 작은 포스트잇에 주요 단어 위주로 간단히 메모한 다음 여유가 있을 때 구체적인 문장으로 다시 정리하면 유용하다.
메모는 상황에 따라 다양한 방법으로 할 수 있다. 냅킨에다 메모할 수도 있고 아니면 작은 메모장을 항상 휴대하거나 수첩이나 종이 신문조각 등에도 기록할 수도 있다. 문제는 형식이 아니라 순간적으로 떠오르는 아이디어를 모든 수단을 동원해 기록하는 것이다.
메모를 잘 활용하기 위해서는 항상 메모할 수 있는 도구를 몸에 지니고 있어야 하며, 습관화하기 위해서는 하루 5∼10분 정도 시간을 내서 메모를 체계적으로 정리하는 습관을 들여야 한다.
